#1. Give Instagram access via the “shared access” feature

Instagram’s built-in shared access feature lets you give someone access to your account without sharing your password.

The invited person uses their own Instagram account, and while they can help manage content, messages, ads, and engagement, they cannot change your login credentials or lock you out of your account.

This option is best for:

  • Personal accounts
  • Creator accounts
  • Some Business accounts
  • Small teams, assistants, editors, or social media managers

❗ Important: The feature is currently only available for some Instagram accounts. Instagram hasn’t officially shared full eligibility requirements yet.

Here’s the step-by-step process:

Step 1: Open your Instagram profile, tap the three-line menu in the top-right corner, and tap “Shared Access.”

Step 2: Choose the type of permissions you want to give:

  • Inbox Access for replying to DMs and comments only
  • Full Management Access for posting content, reels, stories, managing ads, and viewing insights

Most accounts can invite up to 3 people, while some Meta Verified for Business accounts can invite up to 9 people.

Step 3: Search for the person’s Instagram account, select them, and tap “Send Invitation.”

The invited person will have 7 days to accept the invitation before it expires.

How to remove or edit shared access

You can revoke, change, or review access anytime from Profile > Menu > Shared Access.

#2. Add individual users via Meta Business Portfolio

This method is for adding individuals such as your teammates, collaborators, or freelancers.

Go to your Meta Business Portfolio settings or go to https://business.facebook.com/latest/settings.

Under the Users menu, select “People”, then click the blue “Invite People” button in the top-right corner.

Step 2: Enter their email address and assign business portfolio access

Enter the person’s email address.

Next, choose the level of business portfolio access you want to give:

  • Partial access — access only to assigned assets
  • Full control — Admin-level access to the entire Business Portfolio, including settings, people, and connected assets.

You can also set an expiry date for temporary collaborators, freelancers, or contractors so their access automatically expires after a set period.

💡 Older versions of Meta Business Manager used role labels like Admin, Editor, Advertiser, and Analyst. Meta now uses Full Control and Partial Access instead.

Tip: Only grant Full Control when truly necessary, as it gives someone nearly the same permissions as the account owner.

Step 3: Select the Instagram account and assign asset-level permissions

Choose the Instagram account you want them to access by ticking the checkbox beside the account.

Then select the exact Instagram permissions they should have:

  • Partial access — task-based permissions for specific actions
  • Full control — broad access to manage permissions, settings, and connected assets
  • With Partial access, you can enable specific permissions such as:

    • Content — create, publish, and schedule posts and reels
    • Messages — respond to DMs and comments
    • Community activity — manage engagement and interactions
    • Ads — create and manage ad campaigns
    • Insights — view analytics and performance data

    💡 Tip: Grant only the permissions the person actually needs. For example, a video editor may only need Content access, while a support assistant may only need Messages access.

    Step 4: Review and send the Invitation

    Review the invitation details, then click “Send Invitation.”

    The person will receive an email invitation to join your Business Portfolio with the permissions you selected.

    Once accepted, they’ll be able to help manage your Instagram account without needing your password.

    #3. Add a partner via Meta Business Portfolio

    Partner access lets another business manage your Instagram assets through their own Meta Business Portfolio. This means your agency partners can assign the right people internally without you having to manually add every employee one by one.

    📝 Before you get started, you’ll need:

    • Full control of the business portfolio
    • Your partner must have their own business portfolio
    • Their business portfolio ID (under Business portfolio info)

    Step 1: Open the Partners section

    Go to your Meta Business Portfolio settings or go to https://business.facebook.com/latest/settings.

    Under the Users menu, select “Partners,” then click Add > Give a partner access to your assets in the top-right corner.

    Step 2: Enter their Meta Business ID

    Enter the agency or partner’s Meta Business Portfolio ID (a unique 16-digit number used to identify a business portfolio).

    To find it:

    1. Go to Meta Business Portfolio settings @ https://business.facebook.com/latest/settings
    2. Click “Business portfolio info”
    3. Copy the Business ID listed under the portfolio name

    Step 3: Select the Instagram account and permissions

    Choose the Instagram account you want to share and assign the permissions the partner should have.

    You can choose between:

    • Full control — broad access to manage the asset and its settings
    • Partial access — task-based permissions, such as creating content, managing messages, running ads, or viewing insights

    💡 Tip: Only grant Full Control when the agency genuinely needs administrative access.

    Once finished, click “Assign Assets.”

    Step 4: The Partner accepts access

    After accepting the invitation, the agency can manage your Instagram assets through Meta Business Suite without needing your Instagram password.

    #4. Give Instagram access via a linked Facebook Page

    If you give a teammate, employee, or marketing partner access to a Facebook Page that’s linked to your Instagram account, they’ll automatically inherit certain Instagram permissions through the Page connection.

    Depending on the permissions you grant on the Facebook Page, they may be able to:

    • Create and publish content to Instagram
    • Schedule posts and reels
    • Respond to comments and messages
    • Run and manage Instagram ads
    • View insights and performance analytics

    Note: Permissions inherited through a linked Facebook Page allow someone to manage content, ads, comments, and insights, but not change your Instagram password, login credentials, or account ownership settings.
