How to Give Access to a Meta Business Portfolio (2026)
Article Content

To give an employee or freelances access to your Meta business portfolio, open Meta Business Suite and go to Settings > Business settings > People > Invite people. Enter their email address, choose their portfolio access, and assign the assets they need.

You can also give an agency access by adding them as a partner. In Meta Business, go to Settings > Business settings > Partners > Add. Enter the agency’s business portfolio ID, and then select the assets and permissions you want to share.

In this article, we’ll walk through both methods step by step, explain how portfolio and asset permissions work, and help you fix common access problems.

Note: You may also see a business portfolio referred to as Meta Business Manager. Meta has updated the name, but some settings and older guides still use the older term.

Option 1: How to add people to a Meta business portfolio

To add someone to your Meta business portfolio, go to Settings >  Business settings > People, type their email, then assign the assets and permissions they need.

Here’s the detailed step-by-step:

Before you start: check that you have full access

You need full access to the business portfolio to add people and manage their access.

Step 1: Open People in your business portfolio settings

Go to Meta Business Suite Settings > Business settings or @ https://business.facebook.com/settings and select the correct business portfolio.

Under Users in the left menu, click People, then click Invite people in the top right.

Step 2: Enter their email and set temporary access if needed

Enter the person’s email address (must match their Facebook account), and if they only need access for a limited time, turn on Temporary access and set an expiry date.

You can set temporary access for 3 to 75 days and adjust the expiry date any time before access ends. Once it expires, Meta automatically removes the person from the business portfolio and any assets you assigned to them.

Step 3: Choose their business portfolio permissions

Choose the person’s level of portfolio access:

  • Full access (admin-level access): For trusted people who need to manage people, assets, and settings.
  • Partial access (default): For people who only need to work on the assets you assign to them.

Most team members only need partial access.

Step 4: Assign assets and choose what they can do

  1. Select the assets the person needs, such as a Facebook Page or ad account.
  2. Then choose their permissions for each asset; for example, managing ads, creating content, or viewing insights.

Important: Adding someone to the business portfolio doesn’t automatically give them access to the assets they need.  If you skip this step, the person won’t be able to see any assets.

Step 5: Send the invitation

Once you’ve reviewed their permissions and assigned assets, click Invite to send the invitation.

Until the person accepts, their name will appear as Pending under People in your business portfolio.

What the invited person needs to do

The person will receive an email from notification@facebookmail.com with the subject line “Action required: You’ve been invited to join the ‘[Business name]’ portfolio”.

They can also find the invitation in the Requests section of their business portfolio (https://business.facebook.com/latest/settings/requests).

They have 30 days to accept the invitation, and once accepted, they should be able to access the assets you assigned.

Manage, edit, or remove access to your business portfolio

Once someone has access to your business portfolio, you can update or remove their permissions at any time.

You’ll need full access to the business portfolio to make these changes.

Go to your business portfolio Settings > People, then select the person whose access you want to manage.

From here, you can either edit their permissions or remove them completely.

To update someone’s access:

  • Click “Manage” next to Business portfolio access to change their overall access level, or
  • Click “Manage” next to a specific asset to adjust permissions individually

You can also use “Assign assets” at the top to give them access to additional assets.

To remove someone completely:

Click “Remove” at the top of their profile panel.

‍As part of a regular access review, you can also download your people and permissions information to see who has access and identify permissions that may no longer be needed.

Option 2: How to give partner (agency) access to your Business Portfolio assets

To give an agency access to your business portfolio assets, go to Settings > Business settings > Partners > Add, then enter their 16-digit business portfolio ID and assign the assets they need.

Here’s the detailed step-by-step:

Before you start

You need full access to your business portfolio to give a partner access.

The agency also needs its own business portfolio and must send you its business portfolio ID (can be found under Business portfolio info in their settings).

Step 1: Open Partners and choose to give access

Go to Meta Business Suite Settings > Business settings or @ https://business.facebook.com/settings and select the correct business portfolio.

Under Users in the left menu, click Partners, then click Add > Give a partner access to your assets.

This option lets you share assets with the agency’s business portfolio instead of just inviting an individual from their team.

Step 2: Enter the partner’s business portfolio ID

Enter the 16-digit ID the agency sent you, then continue.

They can find it under “Business info” in their settings @ https://business.facebook.com/latest/settings/business_info

If they’re not sure how to locate it, you can send them this quick guide on finding your business portfolio ID.

Step 3: Select the assets and set their permissions

Choose the assets the agency needs, such as:

  • Ad accounts
  • Facebook Pages
  • Instagram accounts

Then set the permissions for each asset based on the work they’ll do.

For example, an agency running ads needs the relevant ad account permissions, while a team creating posts needs access to the Page or Instagram account it will manage.

Share only the assets and permissions needed for the work.

Assign business assets to share with partners (agencies) via Meta business portfolio

If you don’t see the asset you’re looking for, it may not be connected to your business portfolio yet. Learn how to add a Facebook Page to your business portfolio here.

Step 4: Assign the assets

Review the partner, assets, and permissions, then click Assign assets to finish.

In some cases, Meta may require another person with full access to your business portfolio to approve the invitation before it’s sent. If so, the request will remain pending until they approve it.

‍

Removing a partner (agency) from your business portfolio

If you stop working with an agency, you can remove their partner access at any time in Meta Business Suite.

Removing a partner will revoke their access to any assets you’ve shared with them.

You’ll need full access to the business portfolio to do this.

  1. Go to your business portfolio settings and click “Partners”
  2. Select the partner you want to remove
  3. Click Options > Remove from business portfolio
  4. Then confirm by clicking “Remove partner”

Once removed, the agency’s team will lose access to the assets you shared with that partner.

How do business portfolio and asset permissions work?

Meta uses two types of permissions:

  1. Business portfolio permissions control what a person can manage across the entire portfolio.
    1. Full access (sometimes called Admin access) lets them manage people, assets, and settings.
    2. Partial access (sometimes called Employee access) limits them to the work you assign.
    3. Finance access (optional): Lets someone manage transactions, invoices, account spending, and payment methods. For example, a bookkeeper can handle billing without having full access to the business portfolio.

  2. Asset permissions control what a person or partner can do with a specific Page, ad account, or dataset. Someone can manage ads on one ad account, for example, without being able to manage the entire business portfolio.

The steps and permission options vary by asset. For detailed instructions, see our guides to:

Keep in mind: Full access to a particular asset does not give someone full access to the business portfolio. An agency may be able to manage your ad account without being able to add people or change your portfolio settings.

Common business portfolio access problems (and how to fix them)

1. Can’t add people or find “People” / “Partners”?

This usually comes down to one of three things:

  1. You’re viewing the wrong business portfolio: Check the portfolio name in the top-left corner and switch to the correct one if needed.
  2. You’re using a mobile browser: Some business settings may be easier to find on desktop. Open Meta Business Suite settings @ https://business.facebook.com/settings in a desktop browser and check again.
  3. You don't have full access: You need full access to manage people and partners. Someone else on your team with full access can grant you access or update your permissions.

To check who can manage the portfolio, go to the People tab. You’ll see each user’s name and business portfolio access level, which can help you identify someone with full access.

If nobody in your organization has full access, you may be able to submit a request to Meta for full control of the business portfolio. Meta may ask you to confirm your identity and provide documents showing that your organization owns the business.

2. Invite or request isn’t working?

Check these four things first:

  • The email matches their Facebook account: Confirm that you sent the invitation to the email linked to the person’s Facebook account.
  • The invite hasn’t been accepted yet: Ask them to check their email and Meta notifications. You can also open their profile under People to check the invitation status.
  • The account isn’t restricted or disabled: Ask them to resolve any account restrictions before accepting the invitation.
  • No other admin approval is pending: Check for a pending request that another person with full access needs to approve.

3. Added someone, but they can’t see the asset?

Being added to a business portfolio doesn’t automatically give someone access to its assets. If the Page, ad account, or other asset wasn’t assigned to them, they won’t be able to see or use it.

What to do:

Go to Settings > People, select their name, click Assign assets, then choose the asset and the permissions they need.

‍

4. Can’t assign an asset or grant the access you need?

This usually means your business portfolio doesn’t own the asset or you don’t have full access to it.

What to do:

  1. Go to Meta Business Suite settings @ https://business.facebook.com/settings
  2. Open the relevant asset section
  3. Select the asset to check its owner and your permissions
How to find out the business portfolio that owns a business asset

If your business isn’t listed as the owner, ask someone with full access in that business to grant you the required permissions or share the asset with your business portfolio.

Frequently Asked Questions

Should I add a freelancer as a person or a partner?

Add a freelancer as a person if they work directly within your team and don’t have their own business portfolio. If they operate through their own business portfolio, add them as a partner and share only the assets they need.

Can an agency request access instead of the client adding it?

Yes. An agency can request access to specific assets from its own business portfolio. The client can then review the request and approve, reject, or adjust the requested permissions.

How do I approve a pending access request?

Open your business portfolio settings and look under Requests (https://business.facebook.com/latest/settings/requests) for any pending invitations or asset-access requests. Select the request, review the assets and permissions involved, then approve or reject it. You’ll need full access of your business portfolio to complete the approval.

Does giving a partner access transfer ownership of my assets?

No. Partner access allows another business to work on the assets you share, but ownership remains with your business portfolio. The partner can only use the assets within the permissions you grant.

Can someone have full access to an asset without full access to the business portfolio?

Yes. Someone can have full access to a particular Page or ad account without being able to manage your entire business portfolio. They won’t be able to add people, manage other assets, or change portfolio settings unless they also have full access at the portfolio level.
