How to Give Someone Access to a Facebook Page (step-by-step)
Article Content

To give someone access to a Facebook Page, use one of two routes:

  • Standalone Page: Switch into the Page, then go to Settings > Page setup > Page access > Add new.
  • Page in a Business Portfolio: Open Meta Business Suite > Settings > Accounts > Pages, select the Page and click “Assign people.”

Choose the person’s access level, review their permissions, and send the invitation. The process usually takes only a few minutes, although access may not activate until the recipient accepts.

In this guide, we’ll walk you through both methods and explain which permissions to give a teammate, freelancer, or outside agency.

How to give access to a standalone Facebook Page

To give someone access to a Page that is not part of a Business Portfolio, switch into the Page and open Settings > Page setup > Page access. Add the person under Facebook access or Task access, choose their permissions, and confirm with your password.

Before you start

  • The person you're inviting must have a Facebook account.
  • You must have Facebook access with full control.

Here are the steps in detail.

On desktop

Step 1: Switch into the Facebook Page

Click your profile picture, select “See all profiles,” and choose the Page you want to manage.

Step 2: Open Page access settings

From the Page, go to Settings and privacy > Settings > Page setup > Page access.

You will see separate sections for people with Facebook access and task access.

Step 3: Choose an access type

Click “Add new” beside the appropriate section:

  • Facebook access: The person can switch into the Page and manage it directly on Facebook.
  • Task access: The person works through tools such as Meta Business Suite or Ads Manager and cannot switch into the Page.

đź’ˇ Tip: Choose task access for advertisers, analysts, or contractors who do not need to act as the Page directly.

Step 4: Find the person you want to invite

Click “Next,” search for the person by name or email address, and select their account.

If they do not appear, confirm that they have a Facebook account and that you entered their details correctly.

Step 5: Set their role and permissions

For Facebook access, choose:

  • Partial control: They can manage content, messages, comments, ads, and insights but cannot manage access or critical Page settings.
  • Full control: They can manage everything, including settings, permissions and Page deletion.

For task access, enable only the tasks they need, such as content, messages and community activity, ads, or insights.

Facebook access lets someone switch into the Page and act as it directly on Facebook. Task access limits them to assigned tasks in Meta Business Suite or Ads Manager.

⚠️ Warning: Someone with full control can remove you or delete the Page. Grant it only to trusted owners.

Step 6: Confirm and send the invitation

Click “Give access,” enter your Facebook password, and select “Confirm.”

The recipient will receive an invitation by email, and they have 30 days to accept it.

‍

On mobile (the Facebook app)

  1. Open the Facebook app and switch into your Page profile.
  2. Tap the Menu icon (three lines), then go to Settings & privacy > Settings > Page setup> Page access.
  3. Tap the blue Add new button at the top.
  4. Search for the person's name or email.
  5. Turn on Allow this person to have full control if you're assigning admin rights, then tap "Give access."

How to give Facebook Page access in a Business Portfolio

To give someone access, open Meta Business Suite > Settings > Accounts > Pages and select the Page. Click Assign people for an individual or Assign partner for an agency.

Before you start

Confirm that:

  • You have full-control permissions.
  • The Facebook Page belongs to the correct Business Portfolio.
  • The person or partner is listed under Users > People or Partners. If they are not, invite them to the business portfolio first.

Here are the steps in detail.

Step 1: Select the correct Business Portfolio

Open Meta Business Suite, choose the Business Portfolio that owns the Page, and click “Settings.”

Step 2: Choose the Facebook Page

Under Accounts, click “Pages” and select the Page you want the person to manage.

Is the page not listed? Here’s how you can connect a Facebook Page to a Business Portfolio:

  • If your business owns the Page, click Add > Add an existing Facebook Page.
  • If a client or another business owns it, select Add > Request shared access to a Facebook Page.
  • If Facebook says the Page already belongs to another Business Portfolio, its current owner must remove or release it before you can add it to yours.

Step 3: Choose who you’re giving access to

Click "Assign people" to invite individual teammates or freelancers. If they are not listed, go to Users > People, invite them by email, and then return to the Page assignment screen.

Click "Assign partner" for an agency or another business. Enter the agency’s Business ID, then grant access to the Page and select the permissions it needs.

Step 4: Choose the access they need

Meta Business Suite provides three Page access levels:

  • Partial access (business tools only): The person works through Meta Business Suite and other business tools without switching into the Page. You can grant access to content, community activity, messages and calls, ads, insights, creator content, and creator management.
  • Partial access (business tools and Facebook): Includes the selected business-tool permissions and allows the person to switch into the Page to manage it directly on Facebook.
  • Full access: Allows the person to manage everything, switch into the Page, grant or remove access, and delete the Page.

💡 Choose individual permissions based on the person’s responsibilities. An advertiser may need Ads and Insights, while a community manager may need only Content, Community activity, and Messages and calls.

⚠️ Warning: Full-access users can remove anyone, including you, and delete the Page. Reserve this level for trusted owners.

Step 5: Review and assign access

Review the selected permissions and click “Assign.”

The recipient will need to accept an invitation before access becomes active.

How to remove or change someone's access later

For a standalone Page, return to Settings > Page setup > Page access. Find the person, open the options beside their name, and choose "Edit access" or "Remove access."

For a Business Portfolio Page, open Meta Business Suite > Settings > Accounts > Pages, select the Page and find the assigned person or partner. Click "Manage" to change permissions or "Remove access" to revoke them.

‍

Troubleshooting: when the person you're adding doesn't show up

If you can't find the person you're trying to add, check three things:

  1. They need an existing personal Facebook account. A business or Page can't be added as a person; only individual profiles show up in the search.
  2. Double-check the exact name or email tied to their account. A common name won't resolve correctly without the right spelling or the email address they actually use on Facebook.
  3. Confirm neither of you is blocked or restricted. A blocked connection or a restricted account can keep someone from appearing in the search, even with the correct details.

Facebook page roles and permissions explained

Facebook uses different permission names depending on whether your Page is standalone or part of a Business Portfolio.

In Facebook Page settings (standalone):

  • Facebook access with full control: Can manage content, messages, ads, settings, and other people’s access. They can also remove you or delete the Page.
  • Facebook access with partial control: Can manage the Page directly on Facebook but cannot control access or critical settings.
    • Task access: Can perform selected tasks (content, messages, ads, or insights) through tools such as Meta Business Suite, but cannot switch into the Page.
    • Community Manager: Can moderate live-stream chats only.

In Meta Business Portfolio:

  • Full control: Can manage the Page, permissions, and connected business assets.
  • Partial access: Can perform only the assigned tasks. Depending on the permissions selected, the person may work through business tools only or also manage the Page directly on Facebook.

Rule of thumb: Give full control only to trusted owners. Give employees, freelancers and agencies partial or task-based access for the specific work they perform.

âť— You may still encounter the older roles Admin, Editor, Moderator, Advertiser and Analyst in legacy instructions, but Meta has largely replaced these with full control, partial access and task-based permissions.

Frequently Asked Questions

How long does Page access take to activate?

Access normally becomes available shortly after the recipient accepts the invitation. If it remains unavailable, confirm that the invitation was accepted using the correct Facebook account.

How can you tell whether a Page is standalone or in a Business Portfolio?

Open Meta Business Suite > Settings > Accounts > Pages. If the Page is listed under a Business Portfolio, manage access there. Otherwise, switch into the Page and use Settings > Page setup > Page access.

Do you need to be Facebook friends to grant Page access?

No. You can find someone using the name or email associated with their Facebook account. In a Business Portfolio, add them under Users > People or Partners using their email address or Business ID.

Can someone manage a Page without a personal Facebook account?

An individual generally needs a personal Facebook account. An agency can instead receive partner access through its Business Portfolio and Business ID, but its team members will still use their own personal accounts.
